This Privacy Policy applies to the SmartVendor App (iOS and Android) and the website svsi.com, both operated by Smart Vendor Solutions, Inc., a California corporation. By using our app or website, you agree to the practices described in this policy.

1. About Smart Vendor Solutions, Inc.

Smart Vendor Solutions, Inc. ("Company," "we," "our," or "us") is a California corporation headquartered in Rocklin, California. We provide compliance consulting services and the SmartVendor App to transportation vendors serving California Regional Centers and the California Department of Developmental Services (DDS).

The SmartVendor App is a business productivity application available on the Apple App Store (for iOS devices) and Google Play Store (for Android devices). It is designed exclusively for business users — transportation companies and their staff — operating as vendors in the Regional Center system.

2. Information We Collect

Information You Provide

  • Account information: name, company name, email address, phone number, and business address when you register for a SmartVendor account.
  • Business data: vendor certification numbers, Regional Center service agreement details, employee/driver information entered into the app (names, license numbers, training records).
  • Documents: files you upload to the Document Vault (insurance certificates, vehicle inspections, compliance records).
  • Payment information: subscription billing information processed securely by our third-party payment processor. We do not store full credit card numbers.
  • Support communications: messages you send to our support team via email or support ticket.

Information Collected Automatically

  • Device information: device type, operating system version, unique device identifiers, and app version.
  • Usage data: features used, screens viewed, and app interaction data to improve app functionality.
  • Crash reports: error logs and crash data to identify and fix technical issues.
  • Location data (optional): if you enable the trip mileage logging feature, we collect location data only during active trip logging sessions. This is optional and can be disabled in your device settings at any time.

Permissions We Request

  • Camera: to photograph and upload compliance documents. Used only when you initiate a document scan.
  • File/Storage: to save and retrieve documents from your device. Used only when you import or export files.
  • Push Notifications: to send compliance deadline alerts. Can be disabled in device settings.
  • Calendar (optional): to sync compliance dates with your device calendar, if you choose to enable this.
  • Location (optional): to log trip mileage, only when trip logging is active and only if you grant this permission.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • To provide, operate, and maintain the SmartVendor App and its features.
  • To create and manage your account.
  • To send compliance deadline alerts, renewal reminders, and app notifications.
  • To process subscription payments.
  • To respond to support requests and troubleshoot issues.
  • To improve app performance, fix bugs, and develop new features.
  • To send occasional product updates and company announcements (you may opt out at any time).
  • To comply with applicable laws and regulations.

We do not sell your personal information to third parties. We do not use your data for advertising or behavioral profiling.

4. How We Share Your Information

We share your information only in the following limited circumstances:

  • Service providers: We use trusted third-party vendors to operate the app, including cloud storage providers, payment processors, and crash analytics services. These vendors are contractually obligated to protect your data and may not use it for their own purposes.
  • Legal requirements: We may disclose information if required by law, court order, or governmental authority.
  • Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred. We will notify you of any such change.
  • With your consent: We will share your information with third parties when you have explicitly authorized us to do so.

We do not share your driver information, consumer-related business data, or compliance documents with Regional Centers, DDS, or any government agency unless you initiate that sharing yourself through the app's export features.

5. Data Storage & Security

Your data is stored on secure cloud servers located in the United States. We implement industry-standard security measures including:

  • Encryption in transit (TLS/HTTPS) for all data sent between the app and our servers.
  • Encryption at rest for stored documents and sensitive account data.
  • Access controls limiting data access to authorized personnel only.
  • Regular security reviews and vulnerability assessments.

While we take reasonable precautions, no method of transmission or storage is 100% secure. If you believe your account has been compromised, contact us immediately at security@svsi.com.

6. Data Retention

We retain your account data and documents for as long as your account is active. If you cancel your subscription or delete your account, we will delete your personal data within 90 days, except where we are required to retain it for legal or compliance purposes.

7. Your Rights & Choices

You have the following rights regarding your personal information:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request correction of inaccurate information.
  • Deletion: Request deletion of your personal data (subject to legal retention requirements).
  • Opt-out of marketing: Unsubscribe from marketing emails at any time using the link in any email we send.
  • Notification controls: Disable push notifications at any time in your device settings.
  • Location data: Disable location access at any time in your device settings without affecting other app functionality.

8. California Consumer Privacy Act (CCPA)

As a California corporation serving California users, we comply with the California Consumer Privacy Act (CCPA). California residents have the following additional rights:

  • Right to Know: You may request disclosure of the categories and specific pieces of personal information we have collected about you in the past 12 months.
  • Right to Delete: You may request deletion of personal information we have collected from you, subject to certain exceptions.
  • Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights.
  • Right to Opt-Out of Sale: We do not sell personal information. You do not need to opt out.

To submit a CCPA request, email privacy@svsi.com with the subject line "CCPA Request." We will respond within 45 days.

9. Children's Privacy

The SmartVendor App is a business application intended exclusively for adults operating as transportation vendors. It is not directed at, and we do not knowingly collect personal information from, children under 13 years of age. If we learn that we have collected personal information from a child under 13, we will delete it immediately. Contact us at privacy@svsi.com if you believe we may have collected information from a child.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by updating the "Last Updated" date at the top of this page and, where appropriate, sending a notification through the app or by email. Your continued use of the SmartVendor App after any change constitutes your acceptance of the updated policy.

11. Data Deletion Request

To request deletion of your SmartVendor account and all associated personal data, you may:

  • Email privacy@svsi.com with the subject line "Account Deletion Request" and include the email address associated with your account.
  • Submit a ticket through our Help Center and select "Account & Data" as the category.

We will process your deletion request within 30 days and send confirmation to your email address. Note that some data may be retained where required by law or for legitimate business purposes (e.g., billing records).
